"We're having a corporate event" is a fine way to start a conversation. But the quote and preparation become accurate only once a few concrete details are added. You don't need a twenty-page document — a well-put-together email already goes a long way.

Start with the fixed points

Write down the date, venue, type of event, and expected number of guests. Keep operating hours separate from the total length of the event. If the program runs from the afternoon until midnight, but photos are only needed after dinner, that's an important distinction.
